Features

QUOTES AND CONTRACTS

The system improves communication in the organization. It helps with quotes and keeping records of concluded contracts. Every change of the status – causes an automatic update of the Quote or Agreement record. Thanks to this feature everyone is up to date with the stage of each business relation. It helps to efficiently plan future steps too.

THE ROLE MATTERS!

NASK uses a very complicated and extensive catalog of products, types of contracts and offers. There are so many that in order to move around comfortably – various roles have been implemented.

Due to the assigned role, selected areas of the system are hidden or exposed. The permission matrix can be edited by an administrator.

The mechanism applies to the product catalog, type of the offer and contract. Their flow is always dependent on the role given to the user.

CALL FOR BIDS!

Sugar provided NASK with a functionality related to gathering competing offers from different bidders. Each new Lead, for which the source of acquisition is set as “Tender”, needs to be handled as soon as possible. If the system recognizes an ignored record of this type, i.e. no activity was performed by the indicated date and the status of the record did not change – a Task gets generated and an automatic notification is sent to the supervisor.

TIME TRACKING

Time tracking is a feature that goes beyond a functional scope of CRM software. The open code of the Sugar system allowed for the addition of such improvement at NASK’s special request. Thanks to this change, it is possible to control the effectiveness of sales team. The manager receives a summary of the time spent on phone calls, meetings, and other commercial activities. Thanks to Reports, it is possible to compare the working time with the number of open or successfully closed sales opportunities in the indicated period.

NOTIFICATION GENERATOR

Users with administrator rights can design automatic notifications based on business-justified criteria. Alerts about changes in the designated modules are then sent to the appropriate mailboxes. Such message contains basic information about the record, a link to the system and a summary of the changes made. Thanks to the notification generator, everyone interested in a specific case stays up to date with the progress of the sales process.

THE ART OF QUEUEING

eVolpe has created a dedicated module for NASK called “Sales Queue”. It stores knowledge about the scope of cases assigned to the sales reps and allows for fair management of the responsibilities. The “Sales Queue” suggests an employee who has not dealt with a similar topic for the longest time. The supervisor can also choose another person manually. To ensure an even distribution of duties and prevent the specialization of a particular person, e.g. only in tenders – it is best to choose the option suggested by the system.

TERYT INTEGRATION & TIN VALIDATION

TERYT is a register of territorial division of Poland. Integration with the Sugar system allows to register codes in the system. The choice of a specific voivodeship, county and district narrows down the possible options for the remaining fields.

 

In addition, when saving the record, the tax identification number format is checked for correctness. If the country was set as Poland, the system:

  • checks if the number is correct,
  • verifies its uniqueness – checks whether a record with such number does not exists in the system,
  • ensures the record is never saved without a tax identification number.

 

Validation of the employer identification number (REGON) is done the same way.

SOCIAL CRM – COMMENTS LOG

Sugar for NASK has been enriched with a social CRM function. Users can leave short comments as a part of a specific record. Similarly to how it works on social media. The advantage of using this option is keeping the history of comments together with the user’s signature and the time they left it. The function promotes the transparency of information in the environment of constant change of requirements.

PROJECTS

The Polish National Educational Network (OSE) is a program of the Ministry of Digital Affairs, which provides all schools in Poland with access to fast, free and safe Internet. Sugar allows NASK employees to register schools and Internet providers and manage contracts. The application also solved the issue of calculating penalties for delays.
